Privacy Policy

1. Scope

This Policy applies to information collected through DCR Radio’s public website, artist-access and music-submission workflows, Direct License Agreements, New Song Submissions, DJ / Program Host applications and agreements, Guest / Interview Media Releases, listener preregistration, submission-status tools, DCR administrative workflows, and related communications.

This Policy does not control the independent privacy practices of third-party websites or services that you choose to use, including Google Drive, Radio.co, social-media platforms, or other external services.

2. Information We Collect

A. Contact and Profile Information

We may collect information such as your legal name, artist name, group name, DJ or air name, email address, telephone number, city/state, social-media or website links, and other information you choose to provide.

B. Artist, Track, DJ, and Programming Information

We may collect track titles, album or project information, audio or music links, show names, show descriptions, genres, preferred DJ time slots, interview information, promotional materials, artwork, biographies, and other information submitted for DCR programming, review, scheduling, or promotion.

C. Interview, Recording, Likeness, and Social-Media Information

If you participate as an artist, DJ, program host, guest, or interview participant, DCR may collect and process photographs, video, audio, voice recordings, livestream footage, interview statements, performance footage, name, artist/DJ name, image, voice, likeness, show identity, approved promotional materials, social-media handles, and associated release/consent records. When authorized by the applicable agreement, DCR may publish this material through DCR websites, social-media/video channels, advertising tools, station promotions, and other DCR-controlled media.

When DCR posts content to third-party platforms such as YouTube, TikTok, Instagram, Facebook, X, Threads, or similar services, those platforms may process uploaded media, account/channel information, device/network information, engagement data, advertising data, and rights-management information under their own privacy terms.

D. Copyright, PRO, Publishing, Label, Content ID, and Royalty-Rights Information

To evaluate whether music may be used under DCR’s direct-license model, we may collect information concerning performing-rights-organization affiliation, PRO member or IPI/CAE information when provided, songwriter/composition ownership percentages, master ownership percentages, publishers and publishing administrators, record labels or master administrators, SoundExchange registration, distributors, co-writers, producers, featured performers, licensors, other rights holders, direct-license authority, rights-clearance documentation, and related notes.

E. Agreements, Certifications, and Electronic Signatures

We collect information needed to create and maintain artist agreements, New Song Submissions, DJ agreements, rights-holder addenda, guardian approvals, DCR Acceptance records, certifications, timestamps, agreement numbers, submission references, status history, and electronic signatures.

F. Identity and Verification Information

Where identity or rights verification is required, DCR may collect the type of government-issued identification used, issuing state, confirmation information, and a Google Drive link supplied by you to an identification document or rights document. DCR may access those links for identity, authority, rights, compliance, fraud-prevention, or record-verification purposes.

G. Guardian Information

If a minor is eligible to participate in a DCR artist or DJ workflow, we may collect a parent or legal guardian’s name, email address, relationship to the minor, identity-verification information, and electronic signature.

H. Listener Registration and Communications

If you join a listener list or request updates, we may collect your email address, optional first name, communication preferences, consent record, and information relating to messages sent to or received from you.

I. Technical and Usage Information

When you visit or use the site, our hosting and technology providers may process technical information such as IP address, browser or device information, request timestamps, pages or resources accessed, error information, security logs, and similar information necessary to operate, protect, troubleshoot, and maintain the service. We may also use cookies or similar technologies that are necessary for site functionality, security, or preferences.

3. How We Use Information

DCR may use information to:

• operate, maintain, secure, and improve the DCR Radio website and services;
• review artists, songs, DJs, program hosts, interviews, and show proposals;
• record, edit, publish, promote, advertise, and manage authorized interviews, artist/DJ appearances, social-media clips, short-form video, station promotions, and related DCR-created media;
• manage Content ID, copyright-claim, allowlisting, takedown, platform-rights, and social/video clearance records;
• verify identity, ownership, direct-license authority, PRO/publishing/label information, and other music-rights information;
• create, store, administer, and enforce agreements, submissions, addenda, Acceptances, and rights-clearance records;
• manage artist submission status, rights-clearance status, DJ scheduling, Radio.co roles, station programming, and internal DCR records;
• communicate with artists, DJs, rights holders, guardians, listeners, applicants, and other participants;
• send launch announcements, station news, artist discoveries, interview information, programming updates, or other communications when you have requested or consented to them;
• investigate copyright or rights claims, suspected fraud, abuse, security incidents, or violations of DCR agreements and policies;
• comply with legal obligations, respond to lawful requests, protect DCR or third-party rights, and establish, exercise, or defend legal claims; and
• create aggregated or de-identified operational information that does not reasonably identify an individual.

4. Legal Bases Where Required

Where applicable law requires a legal basis for processing, DCR may rely on your consent, steps taken at your request before entering an agreement, performance or administration of an agreement, DCR’s legitimate interests in operating and securing the station and verifying rights, and compliance with legal obligations. Where processing is based on consent, you may withdraw consent as permitted by applicable law, although withdrawal does not affect processing that was lawful before withdrawal.

5. How We Share Information

DCR does not sell personal information for money. DCR does not use information submitted through artist, DJ, rights-verification, or listener forms for third-party cross-site targeted advertising.

We may disclose information to the following categories of recipients when reasonably necessary:

• Hosting and technology providers. DCR currently uses services such as Netlify for website hosting, forms, serverless functions, and data storage.
• Broadcasting and station technology providers. DCR may use Radio.co and related tools for station streaming, scheduling, live-DJ access, and station operations.
• Google Drive and linked-document services. When you provide a Google Drive link, the underlying file remains hosted through Google under the sharing settings selected by the file owner. DCR may access the link for the purposes disclosed in this Policy.
• Rights and licensing parties. Where reasonably necessary to verify authority, investigate a claim, or administer rights, DCR may communicate relevant information with an identified co-writer, publisher, administrator, label, master owner, producer, featured performer, PRO, rights organization, licensor, or other rights holder.
• Professional advisers. We may disclose information to attorneys, accountants, insurers, auditors, consultants, or similar advisers where reasonably necessary.
• Legal and safety disclosures. We may disclose information when we reasonably believe disclosure is required by law, court order, subpoena, legal process, or is necessary to protect DCR, users, listeners, rights holders, or others.
• Business transactions. Information may be transferred as part of a merger, financing, reorganization, acquisition, sale of assets, or similar transaction involving DCR, subject to applicable law.

6. Google Drive Identification and Rights Documents

DCR’s forms may ask you to provide a Google Drive link rather than directly uploading an identification or rights document to the DCR website. You are responsible for the sharing permissions on your Google Drive file. Only provide access to the specific document requested and avoid including unrelated sensitive information.

DCR may retain the submitted link and a record of the verification performed. DCR does not intentionally publish identification-document links in the public artist-status dashboard or in public-facing station content. DCR may retain a verification record after the underlying document is no longer needed.

7. Data Retention

DCR retains information only for as long as reasonably necessary for the purposes described in this Policy, taking into account the nature of the information, the relationship with DCR, rights-clearance and contract requirements, fraud and security concerns, dispute or claim periods, and applicable legal obligations.

• Executed agreements, signatures, rights-clearance records, Acceptances, and related records may be retained for the duration of the relationship and for a reasonable period afterward to document DCR’s authority and prior broadcasts.
• Artist, song, or DJ submissions that are not approved may be retained for a reasonable period for review, fraud prevention, rights disputes, administrative records, or legal compliance and then deleted or archived when no longer needed.
• Listener contact information may be retained while you remain subscribed or while reasonably necessary to administer the listener relationship.
• Identity and supporting-document links should be retained only as long as reasonably necessary for the verification, compliance, dispute, or recordkeeping purpose for which they were collected.

Some information may remain for a limited period in backups, security logs, or third-party service-provider systems after deletion from active DCR records.

8. Security

DCR uses reasonable administrative and technical safeguards appropriate to the information being handled, which may include restricted administrative access, private administrative credentials, access-controlled storage, and reputable hosting/service providers. No website, cloud service, email system, or data-transmission method can be guaranteed to be completely secure.

9. Your Privacy Choices and Rights

Depending on where you live and which privacy laws apply to DCR, you may have the right to request access to personal information DCR maintains about you, correct inaccurate information, request deletion, request a copy of certain information, withdraw consent, or exercise other rights provided by applicable law.

You may submit a privacy request by emailing legal@dcrradio.com with the subject line Privacy Request. Please describe your request and provide enough information for DCR to reasonably identify the applicable record. DCR may ask for additional information to authenticate your identity before completing a request.

You do not need to create a new account to submit a privacy request. If DCR denies a request and applicable law provides an appeal right, you may appeal by replying to the decision or emailing the same address with the subject line Privacy Appeal.

Some requests may be limited where DCR must retain information to administer or prove a contract or license, protect legal rights, address fraud or security, comply with law, preserve evidence, or respond to a rights or copyright dispute.

Marketing and Listener Emails

You may stop promotional or listener-list communications by using an unsubscribe option included in a message when available or by contacting DCR. Transactional, legal, rights-clearance, submission-status, agreement, or security communications may still be sent when reasonably necessary.

10. Children and Minors

DCR Radio is a general-audience service and is not directed to children under 13. A child under 13 should not directly submit personal information through the DCR website. If a parent or legal guardian wants to discuss possible participation by a child under 13, the parent or guardian should contact DCR before submitting information.

For eligible minors age 13 through 17, DCR may require participation, identification, consent, and electronic signature from a parent or legal guardian as part of the applicable artist or DJ workflow.

If DCR learns that it collected personal information online directly from a child under 13 without the consent or other legal basis required by applicable law, DCR will take reasonable steps to delete or otherwise handle that information as required by law.

11. Third-Party Links and Services

The DCR site may link to Google Drive, Radio.co, social-media platforms, artist websites, streaming or promotional services, and other third-party sites. DCR is not responsible for the privacy or security practices of an independent third party. Review the privacy terms of those services before providing information to them.

12. U.S. Operations and International Visitors

DCR Entertainment LLC is a U.S.-based business. Information submitted through the DCR website may be processed and stored in the United States or in other locations where DCR’s service providers operate. If you access DCR from another country, your information may be transferred to jurisdictions with privacy laws different from those in your home country.

13. Changes to this Privacy Policy

DCR may update this Privacy Policy as the station, website, technology providers, legal requirements, or data practices change. The current version will be posted on this page with an updated effective or “Last Updated” date. Material changes may also be communicated through the website or another reasonable method when appropriate.

14. Contact DCR
